BACKGROUND:

This position will work for IRD VN in HCMC Office and reports to the Finance Manager (Accounting Operations).

IRD VN is a locally registered social enterprise in Viet Nam. IRD VN is a young, dynamic and growing organization. Though we started in 2016, we now have over 30 office-based staff working across five cities in Viet Nam. IRD VN works in close collaboration with the Vietnam Administration for HIV/AIDS Control, the National TB Control Program, Provincial CDCs and TB Programs, and other in-country partners to implement projects funded by USAID, the Stop TB Partnership’s TB REACH initiative, the Centers for Disease Control and Prevention (US CDC), UNITAID and Otsuka.

In collaboration with US CDC, IRD VN is helping promote progress towards sustained HIV epidemic control by bridging current gaps in private sector engagement, linking Viet Nam’s HIV and public health system, and infusing a Clinical Business Intelligence (CBI) approach with HIV program stakeholders. The project objectives have been designed in alignment with key requirements for HIV program services as well as cross-program areas (CPA) including Strategic Information (SI) and TB/HIV in seven focus provinces (Ha Noi, Hai Phong, Thai Nguyen, Ho Chi Minh, Binh Duong, Long An) of Viet Nam. We will catalyze the expansion of client access and uptake to high-quality HIV services in private and community care settings through a Private Provider & Community Support Agency model. Our organization is growing quickly and we are searching for 01 highly qualified, independent, experienced and motivated Accountants Accounts Payables, one position will work for IRD VN in HCMC.

JOB RESPONSIBILITIES:

Register the payment request into SunSystems’ AP Module;
Process payment requests, including prepayments;
Primary contact with bank payment processing departments; solving payment transfer problems in coordination with the bank;
Control the travel expense process within the internal system, reviewing and processing a portfolio of expense claims, making sure all costs are in line with Travel Policy and supported by relevant documentation, communicating with internal staff regarding their claims, including when costs claimed are outside of policy;
Reconciliation of AP control accounts related to supplier invoices, prepayments and expense claims;
Support cash flow forecasting;
Responsible for AP month-end close including reconciliations;
Input to internal and external audit where appropriate;
Training and assistance to budget responsibilities and/or their administrative support regarding payment policies and procedures;
Expediting filing of Payment Vouchers (PVB). Keeping separate, designated files as appropriate;
Maintaining specimen signature and Level of Authority file;
Supporting implementation of payment software updates;
Backing up other members of the accounting unit where necessary;
Act as AP user on SunSystems;
Assisting with ad-hoc work-related request as and when required by the Finance Manager.

KNOWLEDGE AND SKILLS REQUIREMENT:

Bachelor’s degree in accounting, finance, business or a related field;
At least 1 years of experience working in accounting or finance. Accounts Payable experience will be an added advantage;
Experience in accounting software;
Detail oriented with exacting standards to maintain accuracy and impartiality in all work products;
Fluency in written and spoken English and Vietnamese language;
Ability to balance numerous tasks simultaneously and meet tight deadlines;
Proficiency in MS Office, especially MS Excel;
Keen attention to detail, with flexibility, initiative and good interpersonal and communications skills;
Good attitude, self-motivated, and ability to work well individually as well as in teams.
