Introduction

Orbis is a leading NGO that has been a pioneer in the prevention and treatment of blindness for almost all 40 years. Orbis transforms lives by delivering the skills, resources and knowledge needed to provide accessible quality eye care. In Vietnam, Orbis has been providing the highest level of expertise to support the development of eye care services and blindness prevention– especially in the areas of retinopathy of prematurity (ROP), pediatric and Diabetic Retinopathy services and in establishing an eye bank. Since 2015, Orbis has worked to strengthen the eye health system in the country, focusing on the quality of services and human resources.

Given the permission of the Prime Minister of Vietnam, Orbis Flying Eye Hospital (FEH) - an advanced and unique model of ophthalmology training in the world carried out on airplanes has implemented its programs in Da Nang (2006, 2008, 2010, 2012), Ho Chi Minh City (2008), Hanoi (2015), Hue (2015, 2019) and Can Tho and Binh Dinh (2017). The Orbis Flying Eye Hospital program is highly appreciated by its partners, making an important contribution to improve the professional capacity of the local eye care unit.

The Flying Eye Hospital Program in 2023 will once again be implemented in Can Tho city, focusing on capacity building in the examination and treatment of eye diseases that can cause blindness, which is a challenge for eye care and blindness prevention in Vietnam. To support for the planning and implementation of FEH program 2023 in Can Tho, Orbis is looking for a consultant to provide day to day administrative, logistic and communication supports to Orbis Vietnam and FEH team.

From 15 February 2023 to 31 May 2023

Scope of Work

1.  Administrative support works

• Prepare list of trainees, participants, visitors, airport security list, invitation letters, correspondence relating to FEH 2023 program in Can Tho
• Support managers to prepare custom, immigration forms and visa application process
• Draft contracts/agreements with the vendors, suppliers of FEH program
• Arrange meetings with local authorities for the planning of FEH program
• Support managers to prepare documents for VF credentials (photocopy, translation, notarization…)

2. Logistic support works

• Support travel related works for Orbis Vietnam and FEH staff, local trainees, visitors and participants as assigned (hotel booking, ground transportation.)
• Support FEH Logistics Managers and Program Manager in logistic works during the program in Can Tho (including general interpretation, patient ascots, security check support and other paperworks as assigned)
• Coordinate for daily transportation of VFs, visitors and participants during the program (including airport pickup & transfer)
• Coordinate for lunch order and delivery for the program at airport and partner hospital
• Support hotel check-in, check-out for Orbis groups (international and local participants)
• Support FEH program managers on arrival, unpacking, packing and departure dates in logistic, admin, immigration works

3. Communication support works

• Support Orbis communication team in com works (printing, opening ceremony…)
• Support admin/logistic works for media visit, filing crew during the program
• Others admin/logistic works as assigned by Orbis managers during the contract period

Required Qualifications and Skills  

• Bachelor degree and very good English and communication skills
• Good team work & supportive attitude
• Hard working and good multi-task ability
• Experience in admin/logistic works
• Experience to organize events and communication activities will be advantages
