Job Trainee (PLANS: Project Financial Analysis and Support, Asia)

About the position

We are searching for a Job Trainee who will provide support to PLANS team in financial management of grants, grant opening and data management in our Enterprise Resource Planning (ERP) system.

The incumbent will be based in Hanoi hub, under the direct supervision of PLANS Team Leader.

The contract will be for 6 months with a high possibility of extension depending on performance (preferred full time, but part-time is also considered for students in the last year of university).  

Key responsibilities

  • Assist the PLANS Office with financial management of grants.
  1. Prepare cost transfer request for review and approval;
  2. Collect data and documentation to support the preparation of the financial reports for donors to ensure reconciliation with the accounting records;
  3. Prepare supporting documentation for financial report submissions and audits;
  4. Execute the activities related to the signature process of financial reports, once all requirements are fulfilled.
  • Assist the PLANS Office with grant opening and data management in our Enterprise Resource Planning (ERP) system.
  1. Support the preparation of the grant opening template for the Enterprise Resource Planning (ERP) system opening process;
  2. Support the preparation of budget uploads in a timely manner to ensure budgets in the Enterprise Resource Planning (ERP) system are up to date.
  3. Updating data in the Enterprise Resource Planning (ERP) system
  • Assist the PLANS office with the review of partners financial reports
  1. Support the review of the partner financial reports against the financial reporting checklist; detect and report issues 
  2. Support the review of the transaction list provided by the partner and ensure it matches with the financial report 
  • Attend trainings developed in-house to enhance learning and performance
  • Other support tasks as required from the PLANS unit.

Required qualifications and skills

  • Bachelor’s degree or on-going education in economics, accounting, finance and related fields;
  • Good knowledge in relevant software packages (Microsoft Office Suite);
  • Strong English language knowledge, both written and spoken;
  • Skills in personal organization, filing and priority setting, problem solving and accuracy.
