BACKGROUND

The IUCN (International Union for Conservation of Nature) is a membership Union composed of both government and civil society organizations. IUCN’s mission is to influence, encourage and assist societies throughout the world to conserve the integrity and diversity of nature, and to ensure that any use of natural resources is equitable and ecologically sustainable. With over 75 years of experience, it harnesses the experience, resources and reach of its more than 1,400 Member organizations and the input of more than 15,000 experts. IUCN is the global authority on the status of the natural world and the measures needed to safeguard it. The IUCN Secretariat has offices located all around the world and is headquartered in Gland, Switzerland.

Every four years, the IUCN membership adopts a quadrennial Programme that guides the work of the Union, especially that of the IUCN Secretariat. The Secretariat implements the IUCN Programme through a growing portfolio of over 400 projects across the world that are designed to respond to country, donor, and IUCN priorities.

The USAID Biodiversity Conservation Activity (BCA), the Project on Sustainable Forest Management and Biodiversity Conservation in (VFBC Project) funded by the United States Agency for International Development (USAID). The project is being implemented across multiple high-biodiversity provinces and will target at least ten Special-use Forests and at least five Protection Forests, linking forest management units across the landscape to maintain forest cover and connectivity of habitats vital for the protection of Vietnam’s threatened and endemic species. The IUCN VN provides technical and thought leadership on Strategic Approach 2, “Strengthen Management of Special-use and Protection Forests.”

This is a local recruitment. Only Viet Nam nationals, individuals with residence status or the appropriate employment visa for Viet Nam are eligible to apply. The remuneration and benefits package for this position is established with reference to the local labour market and in line with the IUCN conditions of service for Viet Nam.

JOB DESCRIPTION

MAJOR RESPONSIBILITIES:

  • Support in implementation of the BCA project in accordance with the agreed project work plan and timelines;
  • Assist Programme/Project Managers with synthesising project reports and other project deliverables;
  • Provide communications support to document project highlights and promote IUCN work;
  • Act as a liaison between the programme/project and corporate services on all financial and administrative matters;

SPECIFIC DUTIES:

  • Provide logistical support for programme/project activities such as events, meetings and travel;
  • Support the programme staff in setting up regular internal coordination meetings, minuting meetings, tracking and follow-up of agreed action points;
  • Support Senior Communications and Outreach Officer in preparing communications materials for project activities, videography, photography, managing social media, story write-ups, publications, translations and interpretation, etc..
  • Maintain up-to-date internal files and templates for easy access and retrieval, and support project staff in filing and maintaining project documentation;
  • Update project data and relevant information on the IUCN’s project portal with the support of the programme/project manager;
  • Support contractual processes for new projects, following stipulated internal procedures and particular project requirements;
  • Assist in the preparation of partners’ and consultancy contracts, obtaining clearance and approvals;
  • Support the procurement procedure of goods and services related to project activities in compliance with organizational procurement policies and donor requirements;
  • Review project invoices, expense claims and partners’ reports and ensure documentation is completed to the highest standard prior to sending it to Finance Unit.

REQUIREMENTS

  • Bachelor or equivalent degree preferably in environmental management, biology, forestry or related fields;
  • Minimum of 3 years of experience working on project implementation, preferably in the field of biodiversity, forestry, and a non-profit or development sector;
  • Work experience in international teams and multi-disciplinary groups;
  • Willingness to frequently travel within the country, sometimes at short notice;
  • Excellent command of English;
  • Computer literacy in MS Office packages;
  • Excellent organizational and networking skills, team-oriented attitude, problem solving skills and ability to work independently;
  • Highly organized, detail-oriented, and self-motivated with the ability to multi-task and prioritize needs.
