Position Summary
As the Accountant and Administrator at HSCV, you will play a crucial role in maintaining our financial integrity and supporting our daily operations. This position involves managing the organization’s accounting, bookkeeping, and administrative tasks, ensuring that all financial procedures are followed accurately and efficiently. You will work closely with the Executive Director and Country Manager and other team members to support the smooth functioning of our office and programs.
Key Objectives
- Uphold HSCV’s Mission and Values while ensuring accurate and compliant financial management.
- Support the effective administration of office operations and program activities.
- Enhance financial procedures through continuous feedback and collaboration with the HSCV team.
Responsibilities and Skill Set Requirements
Finance and Accounting:
- Reconcile all balance sheet accounts with supporting documentation using Quickbooks monthly.
- Calculate and record monthly overhead allocations.
- Record all donations into the general ledger daily.
- Prepare support for banking withdrawals and deposits.
- Advise management of any discrepancies
- Prepare a Month-End Report for the General Fund and complete the Month-End Checklist.
- Prepare an annual budget for the General Fund.
- Train new staff on accounting-related procedures.
- Maintain documentation for approximately 11 accounting-related processes.
- Complete daily Accountant approvals related to Cash Advances and Expenses using Salesforce.
Administration:
- Manage the accounting and administrative aspects of payroll, including Social Insurance.
- Provide administrative support for grants and contracts management.
- Manage the office's administrative tasks.
- Develop and manage the office filing system, including maintaining hard copy files and the electronic shared filing system on Google Team Drive.
Summary of Basic Requirements
- Accounting qualifications required.
- Two to three years of relevant experience.
- Experience working with nonprofits, INGOs, foreign organizations, and/or international partners.
- Proficiency in English and Vietnamese (both written and spoken).
Preferred Skills/Qualifications
- Accounting qualifications required.
- Three years of relevant experience.
- Knowledge of QuickBooks general ledger and/or Salesforce highly preferred but not required.
- Working English required, with Professional Working English or above preferred.
- Experience working with non-profits and/or with foreigners preferred but not required.

Compensation and Benefits
- Monthly salary based on qualifications and previous experience, paid bi-monthly.
- All travel expenses covered.
- Compulsory Insurance provided.
- Motorbike insurance provided after one year of employment.
- Normal working hours: Monday – Friday from 8:00 am – 5:00 pm with lunch and breaks.
- National Holidays off, plus 12 personal days in the first year and 20 days annually thereafter.
